Job Summary
The HR Compliance Specialist manages all aspects of the personnel file process from beginning to end of the employee life cycle, working with multiple departments to ensure that files are complete and ready for inspection at any time.
Job Responsibilities
- Responsible for collecting, processing, performing quality checks, submitting all onboarding material as appropriate, and tracking completion of compliance requirements including audit of candidate information, reporting out-of-compliance documents to our onboarding team, and following up with HR Specialist as candidate proceeds through onboarding processes.
- Partners directly with contractors/vendors, ensuring they are completing compliance requests in a timely manner, providing guidance on requirements, and escalating issues.
- Collaborates with Legal, Risk, and Human Resources experts to ensure that the organization meets mandatory requirements while overseeing compliance and risk mitigation strategies that promote a culture of organizational compliance and ethics.
- Responsible for recommending procedures, process improvements, and suggesting solutions to a variety of problems to ensure activities conducted by regulatory, state/federal, and BH system requirement compliance with partner expectations.
- Supports implementation and execution of new and existing compliance processes and solutions launched by the HR Operation Teams.
- Assists with background checks at hire and as required, including fingerprinting and state registry checks, HR records retention, I9s, background checks, personnel files, EEOC complaints and documentation, and job classifications.
- Act as subject matter expert and provide training on record management system issues (DocStar) related to compliance processes and requirements.
- Conducts compliance audits, analyzes results, and generates reports and findings of non -compliance for relevant functional areas, and potential recommendations to appropriate departments.
- Works closely with IT, HRIS, Compensation, Benefits, Risk management, and Legal on human resources business processes, and other relevant areas.Performs other duties as assigned.

Experience
- A minimum of 0-2 years of experience in an operations, compliance, or human resources support role.
- Demonstrate a comfort level and interest in undertaking substantial data entry tasks into third-party human resources systems such as Equifax, Workday, and CE/Brocker, and Record Management systems.
- Proven ability to independently organize personal tasks as well as the work being executed.
- Proficiency in utilizing Microsoft Professional Programs, PeopleSoft, Workday, and record management systems to organize data and monitor extensive projects.
- Experience in tracking and communicating requirements to team members.
Capability of working both independently and collaboratively in team environments, while taking initiative and managing multiple projects. - Able to work independently with little direction when necessary.
- Team player with solid communication and presentation skills.
